Proximatic vs. RosterLab for Event Rostering

•5 min read

Choose around the work you coordinate. Proximatic connects event rostering, signups, and attendance. RosterLab targets complex workforce schedules, including healthcare and round-the-clock operations.

Published by Proximatic. Reviewed September 27, 2026 against the linked vendor pages. This is a documented-workflow comparison, not a hands-on RosterLab benchmark.

The short answer

Consider Proximatic for an event crew, club, tournament, volunteer program, class, or workshop: describe the work, build roles and shifts, assign eligible people, review coverage, and carry the roster into attendance.

Consider RosterLab when ongoing workforce requirements drive the decision: skill mix, leave, fatigue, contracts, and complex staffing patterns. Its product overview and automatic rostering page describe that focus. Proximatic is not a payroll platform or a complete employee-management suite.

Compare the actual workflow

QuestionProximaticRosterLab's published offering
How does setup begin?A connected, authenticated organizer agent can take one message with event notes, a people/email list, shifts, teams, availability, and supported rules. The web Create form starts with an event brief and people already prepared in the organization. Assignments require approved eligible people and supplied availability. See AI rostering.Configure staff, roles, and roster inputs. The free Digital product is manual; automatic generation is a separate paid offering.
What guides assignments?Whole-shift availability, team eligibility, capacity, overlap checks, and supported scheduling rules.Automatic rostering describes staffing requirements, skills, availability, leave, preferences, and workforce rules.
How are rules expressed?Hard count/percentage rules and supported person-pair restrictions. An AVOID pair keeps two people off the same shift, not all simultaneous shifts. See the exact scopes and examples. The rules engine describes hard and soft rules, weighted preferences, coverage priorities, and staff-specific constraints.
What is saved before review?Direct Auto-Schedule replaces saved assignments immediately on success. AI setup and schedule proposals have separate review-and-apply steps; publishing is separate.Re-rostering describes scenario testing and approval before notifications. That page does not establish the save boundary for every workflow.
Are existing assignments preserved?AI schedule proposals can preserve valid existing assignments when explicitly locked. Direct Auto-Schedule does not lock or preserve existing manual placements.Re-rostering can target part of a roster. Verify which placements are locked in your configuration.
How are gaps handled?Inspect unfilled places and each person's workload. A successful save does not mean full coverage or equal workloads. The generation FAQ describes constraint feedback, trade-offs, and manual refinement.
What do participants use?Public event pages, account-based signup confirmation, their assignments, and connected attendance. An invited staff app supports schedules, preferences, leave, open shifts, and swaps.
What attendance is included?Recorded check-in and checkout; open attendance uses the applicable scheduled end when finalized or read. QR attendance requires internet access.Event check-in and checkout were not established by the reviewed pages. Ask about your required attendance workflow rather than assume it is absent.
What about integrations?Event planning, signup, and attendance work in the web app. The expanded authenticated organizer agent/MCP implementation is in local source and has not been deployed. Public OAuth onboarding and named external-client interoperability remain unverified pending deployment and client acceptance; no universal integration is claimed. See the product hub.Enterprise pricing lists API access and integrations. Confirm the exact connectors and implementation terms.

AI generation and an AI assistant are not the same thing

RosterLab already markets automatic roster generation. Its separate Otto assistant page describes permission-aware roster insights, while action-taking features such as creating a draft or adding shifts are labeled coming soon, with a waitlist. The broader homepage language is not enough to treat every conversational action as generally available.

In Proximatic, AI setup and direct Auto-Schedule are also distinct. AI setup prepares a plan and schedule for a separate create/apply confirmation. Direct Auto-Schedule saves its successful replacement immediately. Neither path publishes the event simply because scheduling succeeded.

Different billing units, different scope

Proximatic's core event creation, signup, scheduling, rosters, and attendance remain free. AI includes one AI-organized event free each UTC calendar month, then costs $2 for each of up to eight additional events. Each paid AI event includes 50 email recipient credits for that event or series, expiring at the end of that UTC calendar month. Participants never pay for AI. A useful AI result starts an AI task; review iterations stay with that task, while later AI work on an applied draft starts another task. Pro is $16/month per organization: connect Stripe, accept supported event payments, and keep the money after Stripe's processing fees. Proximatic takes $0 from your payments. Pro includes 30 AI-organized events and 1,000 organization email recipient credits per paid Pro month. Paid AI usage in the current UTC month credits the first Pro invoice. Unused included credits expire when their billing period ends; additional AI tasks are $2 each. Applicable included credits are used before purchased packs, which carry forward. Pricing explains the charge trigger and billing periods.

RosterLab's pricing page bills AI per rostered staff member per month; manual rostering is free. The reviewed text did not establish currency, contract length, or minimum purchased seats. Its 30-person sales guidance is not a confirmed contractual minimum. Request an applicable quote before comparing totals.

When RosterLab may be the better fit

An ongoing healthcare or 24/7 operation should investigate RosterLab when hard and soft workforce constraints, leave, shift swaps, scenario analysis, or enterprise connections are central requirements. That recommendation follows its rules, re-rostering, and staff-app descriptions—not a guarantee of compliance or a measured performance advantage.

For event-based teams, start with one concrete example. Inspect Proximatic's pantry roster walkthrough, then build your event roster. Check the assignments, remaining gaps, and attendance flow against the work your organization actually needs done.
