Introducing Fully Free Event Signups

Introducing fully free event signups in Proximatic. Create your event, share one link, and let people choose the shift that fits their day.

Participants enter their name and email and choose Sign up. Their place is reserved immediately, and a receipt email follows with a link to view or cancel the signup. They don't need to create a Proximatic account. You get their name on the right shift in your event roster.

Core event creation, signups, shifts, rosters, schedules, and attendance are free for organizers and participants. Optional AI work and payment collection have separate pricing.

Give each role a clear name, a time, and a number of places. Publish the public event, then share its link with your group. People can read the event and choose an eligible shift from their phone.

For a community cleanup, that might mean Setup in the morning and Cleanup in the afternoon. The signup page shows what each job involves, so people can choose where they want to help.

Choose the shift you actually want

The public event page shows the work, dates, times, and remaining places. Pick the shift that fits your day and choose Sign up.

For River Park Cleanup, that might mean Cleanup from 1 p.m. to 2 p.m. Choosing Cleanup carries that exact shift through the rest of the signup. It doesn't switch you to Setup or leave the organizer to guess your preference.

The page displays times in your local time. The selected role and time stay visible while you continue.

Enter your name and email

The signup form asks for your name and email address. Your name helps the organizer identify you on the roster; your email gives you a receipt and a way to manage your signup later.

Choose Sign up to reserve your selected shifts. The next screen says You're signed up! and shows the exact role and time. Your name is on the organizer's roster, and the remaining places reflect your signup.

You don't need to create an account, set a password, or open your email before your place is reserved. The signup receipt arrives afterward. Keep its link for event day or whenever you need to make a change.

The place you chose is the place you get

Proximatic checks availability when you choose Sign up. If another person has taken the last place, you'll get a clear response so you can choose another shift. You won't be silently signed up for a different role.

If you're choosing several shifts, they are reserved together. The selection succeeds as a whole or you can choose again. Repeating an interrupted submission with the same details doesn't create a second reservation.

If the receipt email can't be sent, your signup stays saved. The confirmation page explains what happened and lets you manage your place there. You can request a new email link later.

Keep the email for later

Your confirmation email includes a link to view or cancel your signup. You can use it from another browser without signing in.

On the signup page, Email me a new link helps if you lose the email. Cancel signup asks you to confirm before releasing your place. If attendance has already been recorded, contact the organizer to change the signup.

You can also choose Link to account later. Sign in with the same verified email address and link the signup you already have. Your shift stays the same; linking doesn't reserve another place. Each participant needs their own email address.

The organizer still controls who can join

Guest signup is available for published public Standard events with open, unrestricted self-signup shifts. Private events, team-only shifts, and roles that require approval keep their existing participation requirements.

For an organizer, the useful change is that an eligible newcomer can take a place on the same roster you use to run the event. Signup confirms their place; attendance records their arrival separately.

To prepare an event for guest signup, review the role names, times, capacities, and self-signup settings, then publish the public event and share its link. Follow that link on a phone while signed out. A new person should be able to understand the job, choose their time, and recognize the confirmation when they reach it.
